File sharing & storage

When to use what – quick guide

MS OneDrive – instead of your local hard drive
MS SharePoint – for active collaboration
Nextcloud – for archiving (or as a local alternative to OneDrive)

OneDrive – files that you create and work on yourself and sometimes share with others
OneDrive provides everyone with a substantial individual online storage space (1TB). Use this instead of your local hard drive for all files that you’re working on by yourself and only sometime share with others.

SharePoint – files that are meant to be collaborated on, or viewed, by your group
On SharePoint we have a joint SIPRI storage. If you are working on something as a team, make use of the SharePoint space. To learn more about SharePoint, see here. If you would like assistance setting something up, please email support@sipri.org. Also make use of knowledgeable colleagues to find out how they have set up their collaborative work.

Nextcloud – store documents you and your team need continued access to but no longer actively work on
Nextcloud has the same functionality as OneDrive but all data is stored locally at SIPRI and can also be used for easy document sharing (also with external partners). Use it primarily to store documents you and your team need continued access to but no longer actively work on. For more on Document storage and archiving, see here.

Please note that Nextcloud is not optimised for simultaneous editing – OneDrive and SharePoint works much better for that type of active collaboration.

Finally
Please use these services strictly for SIPRI purposes – keep your private documents, photos and videos in a private account, on Dropbox or other services, just the same way that you should keep private stuff off the local storage of your SIPRI computer and mobile.
