File storage/archiving

While the online Microsoft storage of Sharepoint and Onedrive is to be preferred for collaboration, we advise all teams to make use of our local SIPRI storage option Nextcloud for any documents/projects that need to be kept and easily accessible but are no longer actively worked on.

Nextcloud
Nextcloud (https://drop.sipri.org) has the same functionality as OneDrive but all data is stored locally at SIPRI. It can be accessed outside of SIPRI without VPN. Use it primarily to store documents you and your team need continued access to but no longer actively work on. You have your own personal folder which no one else can access, and you can choose to share folders with colleagues or share a public link with external partners. Your personal space will be created the first time you log in to https://drop.sipri.org.

Setting up a team folder
Instead having someone in your team create a folder and sharing it, please ask you IT team to create a group folder in the main SIPRI folder. That way the folder with the archived documents will remain accessible also when the team member leaves SIPRI.

How do I access Nextcloud
If the application is not already available on your computer  you can download the desktop client here: https://github.com/nextcloud-releases/desktop/releases/latest/download/Nextcloud-3.13.0.pkg. During the installation you will be asked for a server address, enter: https://drop.sipri.org. Login with your SIPRI Account credentials.

The app will now appear as an icon in the top right menu on your screen. From there you can choose to open it either in browser, or open the local folder on your computer. Any changes you make to your local folder will immediately be synced to all other devices and users (if you have shared a subfolder or document with someone). You can also log in online using standard web browsers, at this address: https://drop.sipri.org. Here you can edit your Personal settings, create public or internal shares etc.

Sharing from Nextcloud
If you share a folder with external people, make sure to set both an expiry date for access, and set a password (which is sent separately from the link, preferably by SMS).

files.sipri.org (Files) – older system for archiving
Used to store documents you and your team need continued access to but no longer actively work on. New teams and projects are adviced to store documentation on Nextcloud.

How does Files work
You have your own personal folder which no one else can access. You can also belong to one or more groups for documents your team needs joint access to. New groups are set up by SIPRI IT – send an email to support@sipri.org to request this.

How do I access Files
Go to your desktop, and click Go in the top menu. At the bottom of the list, choose “Connect to server”. Enter the server address: smb://files.sipri.org and click the + (plus sign) to save it for future use. Click Connect and enter your SIPRI Account credentials (check the suggested user name, it is usually wrong) – save your credentials for faster access next time. You will now see a list of the folders you have access to. Please note that today only a few teams still use the files-system, so most users will not have access to this system. If access is needed, please contact support@sipri.org and we will help you gain access.

Remember: when working outside of the SIPRI premises you first need to login to your VPN/Tunnelblick account before you can access the files-server.
