Making Travel Arrangements

Tranås Travel Agency (Tranås Resebyrå) is SIPRI:s official travel agency. All SIPRI travellers are urged to use Tranås, for traceability and support during travel and easier financial follow up. All bookings must be made using the Project Number that the travel/hotel will be charged to.

As of Nov 15, 2016, SIPRI and Tranås have set up a Travel policy which both sides will adhere to. Click here to download the policy.

Traveller’s Profile

All staff should fill out the Traveller’s Profile with personal details and listing any bonus cards, seating and food preferences.

Online booking system

All staff sending their Traveller’s Profile to Tranås will be given personal access to the Tranås online booking system for booking own tickets.

For multi-leg or more complicated travels, please contact the respective department at Tranås from the Contact list.

RAPTIM tickets

Tranås can book RAPTIM tickets which are usually cheaper, allows for more luggage etc. To use a RAPTIM ticket, the traveller must present a RAPTIM certificate when boarding/checking in.

Conference booking

For a fee, Tranås can help with the booking of conferences and events, including online registration of guests. See the Contact list for contact details.

ERV Travel Insurance Policy

SIPRI’s travel insurance provider is ERV (www.erv.se). If something should happen to you, your luggage or your belongings during a business trip, please read the insurance company’s website on how to get assistance. SIPRI policy number is: 50021125 and further down under travel documents you will find the insurance card for download.

Check if you need to report the incident to the airline or the police and remember to always save receipts and reports as they need to be attached to the insurance claim.

NB! The travel insurance is only valid for SIPRI employees, board members and the Director (i.e. not fellows, interns or other visitors). This is important to know so that you don’t plan for any person in these categories to travel with you. It is possible to buy separate business travel insurance from ERV for each specific trip and specific person but this can only be done if the person is an EU citizen. Otherwise we cannot let a fellow, intern or other guest travel on behalf of SIPRI.

High risk travel

There are limitations to the insurance coverage for travels to certain high-risk areas. ERV has identified areas in the world where there is a heightened risk. Below you find a list to the current identified areas.

If an employee intends to travel to a country that could be considered a high-risk area, HR needs to be informed at least 1 week before departure to ensure that insurance is in place at the start of the trip, 

ERV needs to be notified in advance in such cases, in order to register for additional insurance and get a decision on whether it is possible to be insured in the country concerned. If this is neglected, no part of the insurance may be valid.

The cost of additional insurance is paid by the research programme/project.
